Xero · Fix a problem

What does Billed mean, and why can’t I change it?

Timesheets and claims on a Xero invoice are marked Billed and locked, so the invoice and SaveTrees always agree.

For admins · Updated 21 October 2026

Once a timesheet or expense claim is on an invoice in Xero, SaveTrees marks it Billed and stops it being changed. That way the invoice your client gets and the work in SaveTrees never disagree, and nothing is billed twice.

The badges

  • Billed: it’s on a draft or invoice in Xero. Click the badge to open it there.
  • Billed (test): it went to a test organisation, such as Xero’s demo company.
  • Part billed: some of a claim’s expenses are on an invoice and some aren’t, usually because only some were rechargeable.
The Billing line on a timesheet: Billed (test), sent to Xero’s demo company on 21 Oct, draft INV-0051.

Screens may look a little different in your account, with your organisation’s own colours and words.

Hover over a badge to see when it was sent, who sent it and the draft number. You’ll find the badges on the Timesheets and Expenses lists and at the top of each timesheet or claim. Add the Billing column, or filter by Billing, to see Billed and Unbilled at a glance.

Only admins see them, and only while your account is connected to Xero.

Why the buttons are greyed out

On billed work, Edit, Delete, Undo submission and Undo authorisation are greyed out, and hovering over one tells you why. Changing the work in SaveTrees would leave the invoice out of step.

A billed timesheet’s buttons: Undo authorisation and Delete greyed out, Download PDF still available.

To change something that’s billed:

  • Delete the draft, or void the invoice, in Xero.
  • Within the hour, SaveTrees notices and asks you what to do. Choose Bill again on the Xero page in Settings and the work is unlocked.
  • Make your change, then send it to Xero again.

See What do I do if something goes wrong with Xero? for more on that choice.

Billed work stays locked even if you disconnect Xero, so it can’t slip onto a second invoice later.
